KINGMAN REGIONAL MEDICAL CENTER STREAMLINES BACK OFFICE PAPER TRAIL WITH FLEXIBLE REPORT MANAGEMENT SOFTWARE FROM DB TECHNOLOGY
Wednesday, August 20th, 2008CLARK, N.J., August 20, 2008 – The daily challenges facing a medical center are numerous. From handling incoming patient registration to securing proper documentation and identification for use in the back office accounting and remittance procedures, the paper intensity found in many healthcare facilities is at times, overwhelming.
Printing multiple copies of paper reports that need to reach specific employees in specific departments in a specified period of time can all too easily become a colossal problem. Add to this deluge of documents the fact that these many pieces of papers – sometimes reams of paper – need to be separated, collated and then hand delivered to key individuals throughout the organization and you have a reporting records challenge to state the least.
Kingman Regional Medical Center (KRMC) located in Kingman, Arizona, was well aware of the issues surrounding document management. As a well-respected 235-bed regional healthcare facility, they have a keen understanding of what is needed to provide the right information to the right department at the right time. The ability to keep accurate and timely records is a crucial step in providing optimized patient care. Being able to archive data so that reports could easily be retrieved was a key goal of the KRMC Information Systems (IS) department and they found such a solution in DB Technology’s flagship software, Report Automation System (RAS).
A recognized leader in automated information and report distribution solutions, DB Technology, enabled KRMC’s IS and Materials Management departments to easily gather and organize data from disparate computer systems and to capture this data in a single repository for easy, fast and unencumbered access. Utilizing DB Technology’s RAS software, years of dusty binders on sagging shelves have been replaced with an online easy to view and access state-of-the art document management system.
“Try to imagine the scope involved in having to print multiple copies of paper reports that need to reach a host of employees spread out over dozens of hospital departments,” said Barry Moore, director of accounting for KRMC. “Compound this scenario with printers jamming and reports being misplaced, misfiled or lost before reaching the employees who need direct and timely access to the information – and what you have is a paper silo nightmare,” he added.
KRMC was in need of an easy to use, cost effective solution that would enable reports and documents to seamlessly be archived and easily retrievable by authorized personnel. The ability to easily capture, access, process and distribute information and simultaneously eliminate the costly process of manual labor were key components of what KRMC was looking for in a document management solution.
“Getting a handle on paper expenditures while providing accurate and timely report information to accounting and other departments is critical to long term financial viability, and it is something that we pride ourselves on at DB Technology,” said David Wechsler, president and CEO of DB Technology. “We are honored to be working with Kingman Regional Medical Center and are pleased to witness the benefits that RAS technology brings to their facility.”
Utilizing DB Technology’s RAS technology, KRMC is now able to easily store and retrieve reports that are available in user-friendly electronic folders that can be viewed historically and can also be filtered, sorted and integrated into the healthcare provider’s Monarch data mining software.
“We wanted an archival system so that reports would be available to be viewed for an extended length of time, and we needed a system that was compatible with our existing data mining Monarch software,” said Moore. “RAS was the only system able to address all of the issues in a single solution,” he added.
Additionally, the healthcare provider credits DB Technology’s RAS software with:
| • | Minimizing duplicate report generation – no more lost/misplaced reports |
| • | Space optimization – financial reports now are stored electronically |
| • | Significant cost savings |
| • | Optimized use of IS department resources – no longer retrieving multiple copies of misplaced documents |
| • | Improved security enabling reports to be accessed only by authorized personnel |
“With RAS, reports can now easily be sent electronically reducing the paper burden and reprinting of a motley collection of reports. For example, monthly expense reports used to be printed and managers would have to write on them to justify expenditures. Now, these documents are available on RAS, enabling managers to electronically send a report to accounting. The bottom line is a huge cost savings in time, paper and manual labor,” stated Moore.
Today, KRMC is running a seamless back office that excels in customer satisfaction and improved back office processing. “We credit DB Technology with providing us an easy to use, easy to maintain solution that is backed by optimized security and superior customer service. Paper silos are a thing of the past,” he added.

DB TECHNOLOGY HIGHLIGHTS BACK OFFICE COST SAVINGS WITH INNOVATIVE DOCUMENT MANAGEMENT SOFTWARE SOLUTION
Thursday, June 19th, 2008CLARK, N.J., June 19, 2008 – DB Technology, a recognized leader in automated information and report distribution solutions, today announced results from an audit which it conducted to measure how much its healthcare customers can save on average with the use of its innovative Report Automation System (RAS) software technology. DB Technology compiled data from a variety of studies including Gartner and PricewaterhouseCoopers and created an internal audit designed to help their clients quantify the actual cost savings using the RAS software platform.
For example, DB Technology estimates that the cost savings to a 200-bed healthcare facility is $1.2 million within the first year alone after the installation of the RAS system. This represents a 25 percent cost reduction just within the first twelve months. Over a five year period, that same hospital could realize savings of $4 million.
DB Technology has an established history of working with the healthcare industry and understands first hand how difficult it can be to not only integrate data across disparate systems, but how to then allow these documents to be easily accessed by the right individuals within the right departments. It’s a story that repeats itself on a daily basis and continues to plague the business world: how do you minimize paper trails, shorten accounting cycles and streamline operations?
DB Technology undertook a study of its healthcare clients to gauge just how effective an automated software solution can be in streamlining back office processes including paper usage and onsite file data storage. The company’s software modules which include RAS and its related imaging component known as RASi, have been utilized by a host of healthcare facilities in search of streamlining costs and optimizing back office processes.
“Our approach to solving the ‘paper silo’ issue has been to create a common ground where data from a variety of systems in a variety of formats can be seamlessly integrated to produce meaningful results that can be used by management to make solid business decisions,” said David Wechsler, president and CEO of DB Technology. “RAS effectively enables organizations to maximize corporate revenue by decreasing costs associated with the myriad of paper-oriented revenue cycle processes. When you add the imaging component, RASi, the financial gains are even more astounding.”
DB Technology studied data from its healthcare clients and began to look closely at elements that could be measured – tangibles where the implementation of RAS and RASi had a direct impact on the bottom line. Utilizing data from Gartner, PricewaterhouseCoopers, the State of Wisconsin, as well as the American Journal of Medicine and Healthcare Financial Management, the software company designed a series of strategic planning assumptions for healthcare facilities. The company created scenarios for 100, 200, 400 and 600-bed hospitals utilizing certain criteria to ascertain on average how much a hospital could anticipate saving on a yearly basis.
DB Technology made certain cost assumptions, including the percentage of misfiled or lost documents, the time it takes to pull a chart from storage, the percentage of charts needed to be photocopied for release of information processes, annual paper and printing costs, labor costs for assembling, retrieving, photocopying and re-keying data and data file storage costs.
The company’s flagship software solution provides healthcare organizations big and small, the ability to easily unify, search and gain value from documents stored across any and all disparate sources. And now, these hospitals can put a quantifiable figure with just how much they are saving.
With the RAS software along with its host of customizable modules, hospitals and healthcare facilities can benefit from improved revenue cycles that come with increased efficiencies. DB Technology researched the impact that RASi, the imaging component of RAS, had on a hospital’s bottom line. RASi is used to facilitate document management and workflow in a variety of settings including accounting, remittance and other back office processes as well as for purchasing and patient registration.
Figure 1 represents the estimated cost savings for paper, labor, supplies and file storage for a 200-bed hospital using RAS and RASi over a twelve month period.

Figure 1. Estimated First Year Cost Savings with RAS and RASi
“In the back office, there are three main cost centers that are the nemesis to many a CFO,” said Wechsler. “These are costs for labor, paper and printing, physical storage of data files – everything from patient registration to remittance information – someone has to process this material, sift through the files to find the information and then copy it for the appropriate departments who need access to the data,” he added.
“With RASi, we not only simplify the document management process, but we actually enable hospitals to realize dramatic cost savings upwards of hundreds of thousands of dollars in the course of a few years, across any and all disparate sources,” noted Wechsler. “We have the capabilities to help organizations across a host of industries leverage existing information in a painless, efficient manner,” he added.
Figure 2 illustrates the estimated annual savings that a healthcare facility can realize over a five year period with the use of RASi.

The company’s flagship product offering, RAS is a suite of scalable and flexible automation modules, enabling corporations to easily streamline and manage the paper cycle. RAS automatically transforms data into actionable information by capturing data from any application without the use of interfaces. Once captured the information is easily searched and retrieved in a secure environment. RASi, which adds a scanning component to the platform, automatically captures and organizes valuable information and converts it into digital format, which is easier to manage and distribute.
DB Technology’s latest version of the RAS software, RAS 3.28, is designed to address the critical function of financial and operational information capture and report distribution, which in hospitals spans everything from patient registration to remittance. RASi complements RAS with document imaging and scanning capabilities that manages electronic and hardcopy patient accounting and clinical reports and documents from disparate systems. The information is stored in an electronic patient folder (EPF) for easy retrieval and distribution.
A new feature of RAS is the RAS eForms module which eliminates the need for pre-printed forms and the stacks of paper on which they are created. RAS eForms can create bar-coded forms, including patient ID bands, making it easy to keep all actionable data in one electronic patient folder, eliminating many manual processes.
The RAS software suite easily integrates with leading healthcare and financial information systems including Epic, Cerner, Siemens, MEDITECH, McKesson, QuadraMed, PeopleSoft, and Lawson.

DB TECHNOLOGY HELPS GRENADA LAKE MEDICAL CENTER TAKE BITE OUT OF PAPER WITH ROBUST REPORT MANAGEMENT SOFTWARE
Thursday, April 17th, 2008CLARK, N.J., April 17, 2008 – Imagine a daily routine in which thousands of pages of paper need to be printed, parsed, split and hand delivered to appropriate departments such as accounting and patient registration. Now imagine the number of these daily pages and how many pages have accumulated at the end of each month. Trying to keep accurate reporting records would be a nightmare – to say the least. At Grenada Lake Medical Center (GLMC) in Grenada, Mississippi, they understand first hand what it means to take a bite out of paper. The labor, expense, productivity and access to critical data that plagues so many areas of healthcare administration have been streamlined with the use of an easy-to-use, easy to implement software solution.
A 156-bed acute-care community healthcare facility, GLMC had been trying desperately to deal with the challenge of efficient report distribution, thousands of pages that needed to be culled and then separated. For GLMC, getting a handle on paper expenditures while providing accurate and timely report information to accounting and other departments is critical to long term financial viability. Serving the needs of its 12,000 member community plus the needs of its seven neighboring counties, GLMC was exploring options for getting a firm handle on its paper expenditures. Additionally, the hospital wanted to improve the accuracy and timeliness of providing this data to appropriate end-users.
“As a 24/7 healthcare provider, we needed to efficiently manage the preparation and distribution of reports in a timely and cost-effective manner. Our paper costs were sky rocketing out of control and we wanted to get a firm grasp on our document management and report dissemination methods, ” noted Sarah W. Longest, Grenada Lake Medical Center’s Chief Information Officer. “With DB Technology’s Report Automation System (RAS), what was a burdensome task of capturing data from a motley collection of sources has become a painless, easy-to-complete procedure that has saved us time, money and headaches. We couldn’t be happier with DB Technology and their innovative software solution.”
DB Technology, a recognized leader in automated informaton and report distribution solutions, enabled GLMC to not only gather and organize data from disparate computer systems and applications but to then capture this data in a single repository for easy, fast and unencumbered access. They were able to do this through the use of the company’s flagship technology, Report Automation System, RAS.
One example of where the RAS solution has provided invaluable and cost savings benefits is in the area of data mining. GLMC was able to successfully mine accounts receivable information (AR) from an old AS400 directly to the RAS system prior to cutting over to a new AS400 system.
“With RAS, we were able to efficiently extract accounts receivable data from our old AS400 platform. The software solution enabled us to easily manage what would otherwise have been a laborious process,” Longest noted. “For example, in one application alone we were able to quickly move from our old legacy system to the new system-saving over $10,000 in one time conversion costs by mining accounts receivable information from our old AS400 platform directly to the RAS system prior to transitioning to our new AS400 hardware-with all of the data that we needed intact and easily accessible.”
To date, GLMC has been able to minimize its paper trails and shorten accounting cycles. With RAS, the endless stream of paper that plagues much of the healthcare industry, large and small facilities alike – too many documents on too many different computer platforms across too many diverse departments – has been simplified.
“We are thrilled that Grenada Lake Medical Center has been able to witness the benefits of our RAS and RASi technology,” said David Wechsler, president and CEO of DB Technology. “The beauty of the RAS platform is the ease with which hospitals such as
Grenada Lake Medical Center can easily capture, access, process and distribute information and eliminate costly manual paper laden processes at the same time.”
GLMC is currently utilizing RAS and the imaging component of RAS known as RASi to facilitate document management and workflow in a variety of settings including accounting, remittance and other back office processes as well as for purchasing and patient registration.
“DB Technology has provided a product to our facility that has surpassed all requirements including cost, support and scalability,” Longest stated. “The ability of the RAS and RASi software to seamlessly integrate with our existing hardware infrastructure, in this case a Siemens MedSeries4® RCO platform, has been a win-win situation and we continue to find new ways to implement this powerful tool across our organization.”
GLMC has been able to quantify the real value of using DB Technology’s RAS software suite in paper expenditures. Before the implementation of RAS, GLMC estimates that paper expenditures alone reflected thousands of dollars per year not including the cost of printer toner and maintenance.
“With RAS we have been able to reduce the use of paper associated costs by over seventy percent annually,” said Longest. “Utilizing RAS and its software modules, we no longer struggle with misplaced reports – all of our pertinent data is centralized and automated and is available at our fingertips. We have been able to take disparate data sources, turn it into actionable and valuable information while eliminating the need for production, distribution and storage of paper and microfiche. This has been a positive and enormous impact to our bottom line,” she added.

Access to pertinent financial documents and related information is necessary. The ability to locate and enter information into the system is tantamount for providing optimal patient care. Additionally, a quick and painless way to access accounting and other financial information without digging through reams of paper is important to ensure the financial health of the organization.
One such healthcare organization that has taken advantage of today’s leading-edge technology is Saint Clare’s Health System, a member of Catholic Health Initiatives (CHI). The healthcare facility is northwestern New Jersey’s premier provider of community-based healthcare and behavioral health services. Under the leadership of Information Technology and Chief Information Officer Richard S. Temple, Saint Clare’s Health System is able to provide real time data on a patient’s registration status, healthcare information and other important data within a secure environment – all with the touch of a mouse and the click of a button. No more reams of paper and triple copy documents.
How? With the implementation of an innovative suite of software tools designed to simplify the management of the cavernous trails of paper that profligate in the corridors and offices of healthcare systems everywhere. Partnering with DB Technology, a recognized leader – more – for automated information and report distribution solutions, Saint Clare’s Health System is reaping the benefits of a best-in-practice software technology solution.
“With four hospitals and healthcare facilities offering a full range of comprehensive medical services from emergency care to pediatrics to maternal-child care, we needed an enterprise-wide data and report management system that would be cost-effective and efficient,” said Richard S. Temple, vice president of Information Technology/Chief Information Officer for Saint Clare’s Health System. “We had a variety of systems where we were basically duplicating data entry. With DB Technology’s powerful Report Automation Solution (RAS) and RASi (RAS imaging) solutions, we were able to store and distribute critical data with a one-stop solution that eliminated redundancy.”
DB Technology’s flagship solution, RAS, is helping Saint Clare’s Health System to effectively maximize revenues while streamlining its workflow automation processes and eliminating paper. The newest version of the software, designated RAS 3.28, is deployed across hundreds of hospitals and healthcare organizations nationwide. RAS addresses the critical function of financial and operational information capture and report distribution which, in the case of Saint Clare’s Health System, spans everything from patient registration to remittance.
“The decision to move from a paper centric environment to an electronic one is rapidly taking hold in the healthcare arena,” noted DB Technology president and CEO David Wechsler. “We applaud the efforts of Saint Clare’s Health System for helping to curtail the growing cost of healthcare administration. By utilizing the RAS platform, the endless stream of paper that plagues the healthcare industry – too many documents on too many different computer platforms across too many diverse departments – is simplified.”
Saint Clare’s Health System is using DB Technology’s RAS technology throughout the organization in a variety of situations where paper once was the predominant form of communication: patient registration, accounting and other back-office processes as well as across hospital departments including human resources and the emergency room.
Since implementing RAS, Saint Clare’s Health System has been able to reduce costs and automate what was previously a very labor-intensive report management system. With the use of RAS, Saint Clare’s Health System can now take data from disparate computer systems and applications; capture it, extract specific data, format that data into reports and then store those reports in electronic departmental folders for easy, fast and unencumbered access.
One of the key areas where RAS has proven invaluable to Saint Clare’s Health System is in the area of document distribution and security. For example what was previously a laborious, manual intensive process of entering patient registration information has become an easy one-step process with the use of RASi. Saint Clare’s Health System can take a patient’s driver’s license, insurance ID card and medical paperwork, and easily scan the documents into the computer system with the use of RASi. RASi complements RAS with document imaging and scanning capabilities that manage electronic and hardcopy patient accounting and clinical reports and documents from disparate systems. Now patient information is stored in an electronic patient folder (EPF) for easy retrieval and distribution.
“Having a tool as powerful as RAS with the degree of flexibility that it has, enables us to not only better serve the needs of our patient population, but to realize economies of scale by leveraging the trend toward data automation,” Temple added. “We desperately wanted to reduce the 12 foot green bar stacks of paper and turn it into measurable data. RAS combined with the RASi imaging tool lets us easily convert our data into meaningful information that we can slice and dice into customizable substantial reports. It is a very robust, reliable tool.”
Not only has RAS directly enabled Saint Clare’s Health System to reduce its paper and paper-related costs by thousands of dollars on a per annum basis, it has allowed the health care provider to leverage technology as an agent of outreach to their community with a ‘best-in-class’ program. Making it easier for patients and family members to do business with Saint Clare’s Health Care System in combination with a strong positive impact on the organization’s bottom line – is a good thing – for everyone.
“We couldn’t be happier with RAS the solution and DB Technology the company,” said Temple. “DB Technology has great people and they really stand behind their product. I appreciate their flexibility and their innovations; and best of all I can pick up the phone and share an idea with the CEO. That’s what I call customer service.”

DB TECHNOLOGY SHOWCASES NEW AUTOMATED INFORMATION AND REPORT MANAGEMENT SOFTWARE AT HIMSS 2008
Monday, February 25th, 2008ORLANDO, Fla., February 25, 2008 – DB Technology, a recognized leader in automated information and report distribution solutions, is showcasing the latest version of its flagship software suite, Report Automation System (RAS) at this year’s Healthcare Information and Management Systems Society (HIMSS) conference and exhibition. The software suite enables data from disparate computer systems and applications to be captured in a single repository for easy, fast and unencumbered access.
DB Technology’s newly released software, RAS 3.28, represents significant innovations to its flagship software suite which is deployed in hundreds of hospitals and healthcare organizations nationwide. This latest version of RAS is designed to address the critical function of financial and operational information capture and report distribution, which in hospitals spans everything from patient registration to remittance. The software solution effectively maximizes revenues while streamlining the workflow automation process and eliminating paper.
HIMSS connects leaders in healthcare technology from around the world and according to David Wechsler, DB Technology’s president and CEO, “There is no better forum for us to demonstrate the powerful effectiveness of our software. Since RAS does not disrupt existing Hospital Information Systems (HIS) and enhances an organization’s IT investment, it addresses management’s goal to optimize the existing infrastructure while providing essential access to information.”
The RAS 3.28 module is designed to breakdown departmental document silos by enabling users to seamlessly capture a host of financial and clinical documents including: Explanation of Benefits (EOBs), advanced directives, referrals, face sheets, and eligibility reports to name a few. Unlike traditional document management software, RAS does not require specialized interfaces to other computer systems or applications, but rather is able to capture data from any number of formats from text to HL7 to EDI to Excel to PDF. Once captured, the data can be used to format reports that are then easily accessible from the Web, network or via e-mail.
RASi complements RAS with document imaging and scanning capabilities that manages electronic and hardcopy patient accounting and clinical reports and documents from disparate systems. The information is stored in an electronic patient folder (EPF) for easy retrieval and distribution. The new RASi Web module will also be demonstrated, showing how clinicians and other authorized staff can gain remote access to patient folders.
The RAS eForms module eliminates the need for pre-printed forms and the stacks of paper on which they are created. RAS eForms can create bar-coded forms, including patient ID bands, making it easy to keep all actionable data in one electronic patient folder, eliminating many manual processes.
With RAS, the endless stream of paper that plagues the healthcare industry – too many documents on too many different computer platforms across too many diverse departments – is simplified. Using DB Technology’s RAS software, hospitals and healthcare facilities benefit from minimized paper trails and shortened accounting cycles.
DB Technology’s RAS is being used in hundreds of hospitals including such prestigious healthcare systems as Saint Barnabas Health Care System and Robert Wood Johnson University Hospital Medical Center in New Jersey and Erlanger Health System in Tennessee. The RAS software suite easily integrates with leading healthcare and financial information systems including Epic, Cerner , Siemens, MEDITECH, McKesson, QuadraMed , PeopleSoft, and Lawson.
